Financial Assistant
Description: The Financial Assistant supports day-to-day activities in the areas of finance and administration. The Finance Assistant follows financial and organization policies and procedures and is responsible for data entry, record keeping, and maintenance of documentation related to finance and administration.
Location: Amherst, NY
Major duties and responsibilities:
- Provides support for the accounts payable process
- Maintains vendor management, including new vendor set up and vendor inquiries
- Enters and processes purchase orders and accounts payable vouchers
- Tracks corporate credit card activity and reconciles monthly statements
- Provides support for the accounts receivable process
- Enters and maintains customer and project information in the accounting system
- Provides support for the administration of projects
- Assists Principal Investigators with budgeting, projections, and monthly project expenses
- Compiles, tracks, and forecasts project expenses
- Provides support for the payroll process
- Provides support for employee travel
- Makes travel arrangements, processes travel documentation, and reconciles employee travel
- Maintains and provides documentation for annual financial audits.

Reports to: Chief Operating Officer (COO)
Controls over position:
The Financial Assistant will be assigned projects by the COO, as well as other organization leadership members and executives, for finance and administration related matters.
Required qualifications:
- Associate’s Degree in Finance, Accounting, or a related field
- At least one year of direct financial experience
- Knowledge of Generally Accepted Accounting Principles
- Organized and detail oriented
- Proficient in Microsoft Excel
Travel: This position will be based in the Amherst, New York office. This role may on occasion be asked to travel to the organization’s other office locations in Boston, Massachusetts and Madison, Wisconsin.
